Free school management software
Is There Any Free School ERP Software?
Yes, there is free school ERP software, in three forms: free plans from cloud vendors, open-source systems you host yourself, and spreadsheets. What each really costs, what a free school ERP for small schools usually includes, and the "free full version" downloads to avoid.

Short answer: yes. There is genuinely free school ERP software. But "free" means different things depending on which kind you choose, and the differences matter more than the price tag.
The three kinds of free school management software
1. Free plans from cloud vendors
Several school software companies offer a free plan of their online product. You sign up, and the software runs in your browser. The vendor hosts it, backs it up and updates it.
What to check:
- Is it free forever, or a trial? Many "free" plans end after 14 or 30 days.
- What is the limit? Usually a student cap, fewer modules, or both.
- What happens when you outgrow it? Can you move to a paid plan without re-entering everything?
2. Open-source systems you host yourself
Open-source school ERPs have no licence fee: you can download the code and run it on your own server. Their source code is public, often on GitHub.
What to check:
- Who will install, update and back it up? Open source moves those jobs to you.
- Is the project actively maintained? Look at how recently it was updated.
- Does it fit your board and country? Many open-source systems were built for other education systems.
We explain what is involved in how to set up an open-source school ERP.
3. Spreadsheets and templates
A well-organised set of spreadsheets is free and familiar. It works for a very small school, but it has no access control, no audit trail, and every fact is typed in several places. Our free templates at least make the paper and spreadsheet formats consistent.
What "free" really costs
| Kind | Licence | What you pay instead |
|---|---|---|
| Free cloud plan | None | The limits of the plan, and the upgrade when you outgrow it |
| Open source | None | Hosting, setup, updates, backups, and someone's time to run it |
| Spreadsheets | None | Staff time copying data, and the risk of errors and loss |
None of these is wrong. The question is which costs suit your school.
A free school ERP for small schools
For a small school, the most practical choice is usually a free cloud plan with no time limit and a student cap that fits you, because it needs no server, no technical staff and no installation.
That is what Onflows' Community plan is: free, with no time limit, for schools of up to 200 students. It includes the student roll and enrolment, admissions with a public application page, the notice board, certificates, the document vault, bulk import, staff leave, the gradebook and progress cards, subjects and course content, multi-year archives, the audit trail, expenses and email messages to families. Staff logins are unlimited and free.
What it does not include: attendance, the timetable, fees, tests and exams, AI and the help desk, which are on Pro. New schools get Pro free for their first six months. See pricing for the details.
"Free school management software without monthly fees"
Many schools search for software without monthly fees because they have been burned by subscriptions that grew. Two things to know:
- A free plan with no time limit has no monthly fee at all, within its limits.
- Paid plans do not have to be monthly. Onflows Pro is priced per student per academic year, with no setup fee.
Avoid "free school ERP software full version" downloads
Searches for a free school ERP software full version often lead to cracked copies of paid software. Avoid them:
- they frequently carry malware,
- they put children's and families' data on software nobody supports,
- they get no security updates,
- and they are unlicensed, which is a legal risk for the school.
If you want free, use a genuine free plan or a genuine open-source project.
Is there a completely free school management app?
There are free apps, and free plans that include a parent view on the phone. Check what parents can actually see on the free tier, and whether the app is something families must download from a store. Onflows runs in the browser and installs to the home screen, with nothing to download.
Frequently asked questions
Is free school management software safe?
A genuine free plan from a reputable vendor, or a maintained open-source project you host carefully, can be safe. Cracked "full version" downloads are not.
What is the best free school ERP for a small school?
One with no time limit, a student cap above your size, and the modules you use most. Compare the free tiers in our list of free school management software.
Will we have to pay later?
Only if you outgrow the free plan or want paid modules. Check what triggers the move and what it costs before you start. We compare the two in free vs paid school management software.
